City of Manhattan Beach: Administrative Clerk II, Exam No. 11-003

The City of Manhattan Beach is now accepting applications for the position of Administrative Clerk II. There are currently two open positions and the position may be employed in the Police Department OR the Parks and Recreation Department. Both positions may be required to work shifts, weekends and/or holidays.

The Administrative Clerk II will be responsible for the full scope of office support duties and responsibilities to include but not limited to: greeting visitors and the general public in person and/or via the telephone, answer questions and respond to inquiries, referring customers, when necessary to appropriate persons or departments; prepare, type and process written communications; prepare and type agendas and supporting materials; establish and maintain paper and/or electronic file and record-keeping systems; issue, receive, process various applications, permits, registration information, and other forms; operate office machines and equipment, including but not limited to personal computer and software, copy machine, fax machine, scanner, etc.; assist with administrative tasks involving personnel, budgeting processes, and facilities.

The Administrative Clerk II, in the Police Department, will be responsible for coordinating with the court on all subpoenas for officers and witnesses in criminal as well as traffic court matters and administering the Police Department’s false alarm program.

The Parks and Recreation Department Administrative Clerk II will be responsible for enrolling participants into various Parks and Recreation activities throughout the City.  

Qualifications:

Training and Experience: Position requires a high school diploma or GED with specialized clerical course work and/or training. Level II must have one year of increasingly responsible clerical or secretarial experience. Must have a valid California driver’s license at the time of employment.

Knowledge, Skills, and Abilities: Must have general knowledge of office methods, practices, procedures, and equipment; organizational skills; the ability to operate personal computer word processing, spreadsheet applications, and graphic software; type 45 words per minute, corrected; learn the general terms, procedures, and operating details of the assigned department; read and correctly use the English language; effectively proofread assigned work; follow oral and written direction; work with confidential information; communicate effectively orally and in writing; and work cooperatively with City employees and the general public.

Physical Demands and Working Conditions: While performing the duties of this job, the employee frequently sits, stands, listens, talks, uses a telephone, calculator, and personal computer with a VDT screen for extended periods of time. Must occasionally stoop, balance, or kneel and use arms, legs, and back to reach for, lift, and/or move objects up to 25 pounds.

You must include your work experience for each position listed on the City application form.  Entering “see resume” for your work experience on the City application form is not acceptable and your application may be rejected. Note: All Candidates must successfully pass a background investigation, and a pre-employment medical examination to include a drug test. Applicants who are considered for the position in the Police Department must pass an extensive background investigation including a polygraph examination. An Agency Shop Agreement is in effect for this classification. As a condition of employment, payment of Union Dues or an Agency Fee is required.

Typing Certificate Required:
You must provide an Original (no copies) typing certificate with your City application. Certification may be in the form of a certificate, letter, or test results form that clearly states the following:

1. Applicant’s name.
2. Name and phone number of the issuing agency. Acceptable agencies are a government agency, an employment agency, a business college, an adult school, or a public school system.
3. Date of the typing test. The typing test must be dated within one (1) year of the final filing date.
4. Timed test with net speed (45 words per minute – corrected).
5. Original signature of the person administering the test.

Certificates that do not include all the above information may disqualify the applicant from the selection process. Internet typing tests will NOT be accepted. Candidates who fail to provide a typing certificate by the final closing date will not be invited to participate in the selection process. The City reserves the right to refuse any certificate and require a retest.

If you wish to have your original typing certificate returned please provide a self-addressed stamped envelope or if you bring your application materials in-person, your original typing certificate will be copied by an HR staff member and returned to you.
